We are committed to ensuring that any personal data we hold about you is protected in accordance with data protection laws and is used in line with your expectations.

This privacy notice explains what personal data we collect, why we collect it, how we use it and how we protect it.

What personal data do we collect?

  • We collect the following data on you:

  • Name and address/email address

 Why we collect this information and the legal basis for handling your data

  • The swimming club is run by a Committee and in order to fulfil club regulations we are obliged to hold at least a name and address of members.

  • We hold as many e mail addresses as possible so that we can contact members and let them know of any events.

  • We also have a facebook page which is administered by 2 committee members and that anyone can access and participate in. No personal data is held on this site.

 Who we share your data with

  • We do not share your data with any third party unless requested by law.

 We will also share your data if:

  • we are legally required to do so, for example, by law, by a court

  • to enforce or apply the terms and conditions of your contract with us;

  • it is necessary to protect our rights, property or safety

We will never share your data with any other organisation to use for their own purposes.

How do we protect your data?

We protect unauthorised access to your personal data and prevent it from being lost, accidentally destroyed, misused, or disclosed by:

Keeping all completed cards in a locked cabinet and a USB database also in a locked drawer.

How long do we retain your data?

We retain your personal data for up to 3 years of you joining. 

Your rights with respect to your data

You have the right to:

  • request access, amend or correct your personal data by contacting the club

  • ask that any photograph taken by anybody and put on to the facebook page or website be taken down even though the membership card signature includes permission to use photos for facebook and the website.
